Employee Exit Information
Estimated Reading Time: 6 MinutesHere is information about things you should do shortly before your last day as an employee at Clemson.
Within one day after you leave the employment of Clemson, your Clemson Username will be deactivated. This means your access to most Clemson information resources will no longer be available.
WE SUGGEST YOU PREPARE FOR YOUR EXIT WITH THE FOLLOWING STEPS:
- Create (if you don't already have it) some personal cloud storage accounts to back up data you would like to keep. Note that personal accounts have lower storage options, so you might want to do two or three of these. Here are some options:
- Go to www.google.com and create a personal Google account if you don't already have one
- Go to www.box.com and create a personal Box account
- Go to https://onedrive.live.com and create a personal OneDrive account.
- Set up a new email address and share that with colleagues who might want to email you after your leave. Forward any messages you need to keep to the new address. (One option is to use the Gmail address that you set up when you created a new Google account.)
- Bring a personal flash drive or external hard drive to work for any personal data you would like to keep.
- Back up anything you need on your computer that you would like to keep and share with co-workers any data they will need.
- Go to HR payroll page and download any tax forms you might need later (https://www.clemson.edu/human-resources/payroll/index.html).
- Go to your Clemson Box account and change ownership of any folders others will need to the new person who will need it. Note: you MUST make co-workers who will still be at Clemson the "Owner". Any folders that you owned will be lost after you leave. Do not make them "Co-Owner" or they will be lost. Download anything personal that you would like to keep.
- Go to your Clemson OneDrive account and change ownership of any folders others will need after you leave.
- Go to your Clemson Google Drive account and change ownership of any folders to others (or to your new Google account).
HERE IS INFORMATION ABOUT SOME OF YOUR CLEMSON IT RESOURCES:
Google: Your Clemson Google account will no longer be available. So if you have data you will need in your Google Drive or any other Google App, you will need to get it before you leave.
Adobe: Both your Adobe software and the data you saved in Adobe Creative Cloud will no longer be available to you. So be sure to download the data files before they are unavailable. Here is how to do that on Windows and Mac.
- Windows: Open File Explorer. Look under Quick Access on the left side of the window. Double click on Creative Cloud Files. Double click on that and select the files you want to keep. You can drag a copy to a folder on your computer. Then back them up to a personal cloud service or flash drive.
- Mac: Open Finder. On the left side of the window you should see Creative Cloud Files. Open the folder and drag a copy of any of the files you want to keep to a folder on your computer. Then back them up to a personal cloud service or flash drive.
Canvas: Canvas will no longer be available. If you have any data stored there that you would like to keep, be sure to download it. You can do that by clicking on Account, Settings and you will see Download Submissions. Then click on Create Export and New Export. Click here for an article on this.
Box: Your Clemson Box will no longer be available. Here are three options for the data that you own:
- You can download the data to your computer and upload into your personal cloud storage account.
- Or you can go to https://www.box.com and create a personal account (be sure to use an email address that is different from your Clemson email address). Note that the free personal account currently offers only 10 GB of storage. Download the files from your Clemson Box account to your computer, and then upload them to your new personal Box account.
- Alternatively, you can move your Clemson Box files into one folder and transfer ownership of that folder to a personal Box account. From your Box All-Files, select the folder and click on Share. Make the new account the "Co-owner" of the folder. Then click on the Share button again, click on the icon for the new account, and the second time you can make the new account the "Owner" of the folder. Note that if you leave the new account as Co-owner, when your Username is deactivated, the files will be removed. But if you make the new account the Owner, the files will stay.
Microsoft OneDrive: If you don’t already have a personal Microsoft Live account go to https://onedrive.live.com and create a new account (be sure to use an email address that is different from your Clemson email address). Download the files from your Clemson OneDrive account to your computer, and then upload them to your new personal OneDrive account or to your Clemson Google Drive account. Current pricing for personal accounts offer 5GB of storage for free and 100GB for $1.99 per month (pricing subject to change).
Clemson Personal Storage or U: Drive: If you stored files in your Clemson personal storage space, be sure to download them before you leave Clemson. Note that if you saved files in a lab (or other computer) under CUAPPS (Citrix), those files also went to your Clemson Personal Storage. Here are two articles on how to connect to your U: Drive. If you need to keep the files, you should copy the files to a folder on your computer and then back up to a personal cloud service or personal storage device.

Clemson Software: Most of your Clemson software will not be available to you after you leave. This includes the Company Portal.
Microsoft Office: When your Clemson Username is deactivated, MS Office will no longer be available. One free option is to use the apps in your personal Google account - Google Docs for word processing, Google Sheets for spreadsheets, Google Slides for presentations.
VPN: Once your Clemson Username is deactivated, you will no longer be able to log in to the Clemson VPN.
If you tied your Clemson email address or Clemson Gmail address to any other types of accounts or as recovery email, be sure to go in and change them to your new personal email address.
Note that some services will stop being available to you when you are no longer on campus, and some will stop being available to you when your Clemson Username is deactivated. It is recommended that you download files and take care of your IT needs before you leave!
